Create a Like for Like Return or a Return for Items of the Same Value

Overview

This below explains how you create and process a customer return where the items being sent out to the customer are the same as the items being returned, or they are of the same value. For example where the customer received the items but they were damaged so want replacements, or they wanted a different colour of the items being returned. 

Usage

Create the Return

The return can be created before the items are returned by the customer. 
  1. Open the original sales order which contains the items the customer wishes to return.
  2. Check to make sure the item has not already been returned.
  3. Select the items to be returned.
  4. Click on the Actions button.
  5. Select Create Customer Return Note.
  6. Click Yes and then Continue in the popup.
  7. Check the quantity of the items being returned and change if necessary.
  8. Select the return reason.
    1. Select the item that you want to send out the replacement for as a direct exchange, or like for like:
      1. Click on the Actions button
      2. Select Direct Exchange.
      3. Click Yes and then Continue in the popup.
      4. The item will be added to the bottom grid.
    2. Select the item that you want to send out the same value replacement for:
      1. Click on the New button above the lower grid.
      2. Select the item(s) to be sent out in exchange in the stock lookup and double click on them to the lower grid.
      3. Amend the quantity if necessary.
  9. Save the return.

Process the return

  1. Click on the Actions button.
  2. Select Process Return.
  3. Click Yes and then Continue in the popup. This lets you know that the system is creating a credit note to pay for the exchange items and that a return exchange sales order has been created for the items that are going out to the customer.
  4. Click Continue in the popup.
  5. Click on the Actions button.
  6. Select Issue Credit Note. This makes the credit note available to use to pay for the items going out to the customer.
  7. Click Yes and then Continue in the popup.
  8. Click on the Processing tab where you can see the status of the return, for example the credit note has been issued.
  9. Click on the Actions button.
  10. Select Allocate Credit Note to Exchange. This allocates the payment to the return exchange.
  11. Click on the Actions button.
  12. Select Issue Returns Note. This completes the return.

From the Actions menu you can use the options Goto Credit Note and Goto Exchange Note see the documents created as part of this process. The Payment tab in the return exchange will show the payment has been made by credit note.
