Khaos Control Cloud Setup Guide - System Data - Countries

Overview 

This page is intended to compliment the training you undertake to help you set up your Khaos Control Cloud for your business.
The Help menu is also available by clicking on the yellow question mark button in the top right of your screen or selecting Help from the navigation bar within any screen in the system. It’s context-sensitive and will display relevant information depending on where you are within Khaos Control Cloud (KCC). The information includes:
  1. A description of the main page you are using.
  2. Information on the fields within the current screen.
  3. A list of related videos which will guide you through important tasks related to the screen that you are on.

System Data

System Data is found under System Setup from the left navigation bar.
System Data is a list of items that the rest of the system uses in its various screens to function. This is the area allows you to set-up your key central data, such as Customer Types, Tax Rates, Currency Conversions, Stock Types, etc. To enter any of the areas within the System Data grid double click its line.
  1. From within any area of system data you can enter edit mode via the green Edit button at the top of the screen.
  2. The information within system data can be changed at any time however once it has been used it can no longer be deleted.
  3. Save any changes using the Save Screen button in the top right.

Countries

This screen contains a list of countries for accounting, addressing, credit control and delivery purposes and uses ISO 3166.

Adding a New Country

To add a new Country:
  1. Go to [System Data | International | Countries].
  2. Click the Edit button.
  3. Click the + New button.
  4. Enter the details of your new Country as required using the details below as a guide.
    1. Country – Name The name of the country.
    2. Code – The two character country code, for example GB, US.
    3. Code(3) – The three character country code, for example GBR, USA.
    4. Zone – The zone, as defined in [System Data | Country Zones].
    5. Delivery – Whilst a delivery charge may be set against each country, this has largely been superseded by Delivery Rates.
    6. Tax – Indicates whether the country is subject to VAT.
    7. EU – Indicates whether the country is to be treated as an "other member state" for VAT purposes; this affects how sales and purchases appear on VAT Returns.
    8. Sales Nominal – You can record sales for one or more countries against a specific sales nominal account codes.
    9. Currency – The default currency for the country, so when new customers are created and a country is selected against them the currency will default to the currency defined against that country.
  5. Repeat steps 2 & 3 for additional Countries.
  6. Click the Save Screen button.

Editing Countries

To edit the Countries list:
  1. Go to [System Data | International | Countries].
  2. Click the Edit button.
  3. Edit the details of your Countries using the details above for guidance.
  4. When you have finished editing click the Save Screen button.

Deleting Countries

To delete a Country:
  1. Go to [System Data | International | Countries].
  2. Click the Edit button.
  3. Green select the Countries you wish to delete.
    1. A Country can not be deleted if it is registered against a record of any kind within the system.
  4. Click the - Del button.
  5. When you have finished editing click the Save Screen button.
