Khaos Control Cloud Setup Guide - System Data - Branding

Introduction

This page is intended to compliment the training you undertake to help you set up your Khaos Control Cloud for your business.
The Help menu is also available by clicking on the yellow question mark button in the top right of your screen or selecting Help from the navigation bar within any screen in the system. It’s context-sensitive and will display relevant information depending on where you are within Khaos Control Cloud. The information includes:
  1. A description of the main page you are using.
  2. Information on the fields within the current screen.
  3. A list of related videos which will guide you through important tasks related to the screen that you are on.

System Data

System Data is found under System Setup from the left navigation bar.
System Data is a list of items that the rest of the system uses in its various screens to function. This is the area allows you to set-up your key central data, such as Customer Types, Tax Rates, Currency Conversions, Stock Types, etc. To enter any of the areas within the System Data grid double click its line.
  1. From within any area of system data you can enter edit mode via the green Edit button at the top of the screen.
  2. The information within system data can be changed at any time however once it has been used it can no longer be deleted.
  3. Save any changes using the Save Screen button in the top right.

Branding

Branding allows you to use different brands for different sales outlets or sources, for example two different web sites. This is where you can set up the company details for the documentation your customers will receive when they purchase from the various Brands.

Adding a new Brand

To add a new Brand:
  1. Click the Edit button.
  2. Click the + New button.
  3. Fill in the details of the Brand you wish to create. See details below.
    1. Brand Desc  The name of the brand.
    2. Image Preview  A small thumbnail of the brand logo.
    3. Company Name  The brand, or "trading as" name, you want to be shown in the report`s company name field, for example My Other Brand.
    4. Web Site  The web site address you want to be shown in the report`s website field, for example www.myotherbrand.com.
    5. Email  The email address you want to be shown in the report`s email address field, for example info@myotherbrand.com.
    6. Tel 1  The primary telephone number you want to be shown in the report`s telephone 1 field, for example 01476 567331 (tel).
    7. Tel 2  The secondary telephone number you want to be shown in the report`s telephone 2 field, for example 0845 123999 (lo-call).
    8. Fax 1  The fax number you want to be shown in the report`s fax field, for example. 01476 567089 (fax).
    9. Reg Number  The registration number you want to be shown in the report`s legal imprint, for example My Other Brand is a trading name of Vast Holdings Limited, registered in Scotland number SC080723.
    10. Reg Office - The registered office address you want to be shown in the report's legal imprint (e.g. "Registered Office: The Palace of Westminster, London, SW1A 0AA".
    11. VAT Number  The VAT number to be printed on branded stationery.
    12. EORI Number - The Economic Operator Registration and Identification (EORI) number which is used by HM Revenue and Customs (HMRC) to identify you and collect duty on your goods. This can be set per brand here.
    13. Tax Relief  Used in conjunction with the Tax Relief options against a Customer and Stock Items. Tax Relief being set by brand offers an extra level of control over when products get Tax Relief.
    14. Disabled  Mark the brand as being no longer active so it does not display in the brand drop down lists.
    15. Logo File  This button gives you the option to upload the brand logo.
    16. Email Sending Domain  If the brand uses a different domain than the company specified in [System Setup | System Values | Company] then entering it here will set KCC to use this domain whenever this brand is used.
  4. Repeat steps 2 & 3 for each Brand you require.
  5. When finished click the Save Screen button.

Editing a Brand

To edit an existing Brand:
  1. Click the Edit button.
  2. Edit the fields of your Brands as required - see descriptions above for more information.
  3. When finished click the Save Screen button.

Deleting a Brand

To delete an existing Brand:
  1. Click the Edit button.
  2. Green select the Brand(s) you wish to delete.
  3. Click the Del button.
    1. It is not possible to delete brands that have had sales orders raised against them, in this instance tick the Disabled checkbox.
  4. When you have deleted or disabled the Brand(s) required click the Save Screen button.
