Overview
Stock value is determined by a number of factors and this document is intended to detail the processes.
Usage
Stock Value Calculation Methods
In [System Setup | System Values | Stock] it is possible to set KCC to calculate stock value in a variety of ways:
- Last Price Paid – will update the stock value based on the latest posted purchase invoice for the stock item.
- For example, if there are 20 items in stock, 10 were purchased last week at £10 and 10 were purchased this week at £20, the stock value would be £20.
- Average Price – will update the stock value based on an average of the posted purchase invoices for the current stock being held.
- For example, if there are 20 items in stock, 10 were purchased at £10 and 10 were purchased at £20, the stock value would be £15.
- Standard Price – the system will not update the stock value, it must be manually entered and maintained by the user(s).
- Average inc. Build – When a stock item is built the stock value updated to take into account the stock value of the child items.
In addition to the above calculation, there is also an option to include adjustments in Average Price Calculations. If enabled, the system will include any manually entered stock value figures added from the stock adjustment screen.
When Does the Stock Value Update?
Stock value is updated when you post a purchase invoice to the accounts. The same also applies to sales orders, ie. average stock value will be affected by the issuing of the sales invoice.
As your stock value is dependent on the both the posting of purchase invoices and the issuing of sales invoices it is essential that these two tasks are carried out regularly.
After stock value(s) have been updated the system does not retrospectively adjust the stock value on any sales orders already present on the system.
How to Add Freight and Duty Costs
Freight and / or duty costs can be only be included in stock value if it has been included in the purchase invoice - note it is not possible to add it on to the purchase order. if the purchase invoice has already been posted to the accounts you can edit the values as required and then click Save Screen.
How to See the Stock Value or Overheads Calculation
From within the stock item record it is possible to see the basic stock value information in the 'Pricing' box. If you wish the stock value displayed to include overheads (and thus offer a more accurate margin) click the ⇄ symbol.
You can see the stock value calculation in detail by doing the the following:
- Click Actions.
- Click Stock Value Calc.
- You will be presented with a popup dialog of the stock value calculation for the item.
From within the stock item record you can also see the overheads calculation:
- Click Actions.
- Click Overhead Calc.
- You will be presented with a popup dialog of the overhead calculation for the item.
