Khaos Control Cloud Setup Guide - System Data - Stock Types Levels 1 & 2

Overview

This page is intended to compliment the training you undertake to help you set up your Khaos Control Cloud for your business.
The Help menu is also available by clicking on the yellow question mark button in the top right of your screen or selecting Help from the navigation bar within any screen in the system. It’s context-sensitive and will display relevant information depending on where you are within Khaos Control Cloud (KCC). The information includes:
  1. A description of the main page you are using.
  2. Information on the fields within the current screen.
  3. A list of related videos which will guide you through important tasks related to the screen that you are on.

System Data

System Data is found under System Setup from the left navigation bar.
System Data is a list of items that the rest of the system uses in its various screens to function. This is the area allows you to set-up your key central data, such as Customer Types, Tax Rates, Currency Conversions, Stock Types, etc. To enter any of the areas within the System Data grid double click its line.
  1. From within any area of system data you can enter edit mode via the green Edit button at the top of the screen.
  2. The information within system data can be changed at any time however once it has been used it can no longer be deleted.
  3. Save any changes using the Save Screen button in the top right.

Stock Types

Stock Types enable you to categorise stock items in up to four levels. This allows you to quickly locate and query stock items, add stock items to sales orders and aid sales analysis.

Level 1 and Level 2 Stock Types are mandatory.

Stock Types Level 1 (Type Types):

Type Types is the top level of the stock types. No physical stock is held under this level.

Adding a Level 1 Stock Type

To add a Level 1 Stock Type:
  1. Enter [System Data | Level 1: Type Types].
  2. Click the Edit button.
  3. Click the + New button.
  4. Type the description of your Level 1 Stock type.
  5. Repeat steps 2 & 3 for additional Level 1 Stock Types.
  6. When you have finished adding Level 1 Stock Types click the Save Screen button.

Editing a Level 1 Stock Type

To edit Level 1 Stock Types:
  1. Enter [System Data | Level 1: Type Types].
  2. Click the Edit button.
  3. Change the descriptions of your Level 1 Stock Types as required.
  4. When you have finished editing click the Save Screen button.

Deleting a Level 1 Stock Type

To delete Level 1 Stock Types:
  1. Enter [System Data | Level 1: Type Types].
  2. Click the Edit button.
  3. Green select the Level 1 Stock Types you wish to delete.
    1. It is not possible to delete a Level 1 Stock Type if there is a Level 2 Stock Type contained within in it. Remove or delete the Level 2 Stock Type association before proceeding to delete the Level 1 Stock Type.
  4. When you have finished deleting the Level 1 Stock Types click the Save Screen button.

Stock Types Level 2 (Type):

This is the second Stock Type Level to categorise Stock Items and it is linked to Level 1: Type Types. Every stock item on the system MUST be associated with a Level 2 Stock Type.

Adding a Level 2 Stock Type

To add a Level 2 Stock Type:
  1. Enter [System Data | Level 2: Type].
  2. Click the Edit button.
  3. Click the + New button.
  4. Type the description of your Level 2 Stock type using the descriptions below for guidance.
    1. Description â€“ The description of the Stock Types Level 2.
    2. Type Type (Level 1) â€“ Links the Level 2 Type to its corresponding Level 1 Type. THIS FIELD IS MANDATORY.
    3. Accounts Sales Nominal â€“ Links sales so they can be tracked for all stock items categorised within a particular stock type, for example, to view the total value of all sales of `Videos`, a nominal code is created and assigned to the appropriate Stock Type.
    4. Accounts Tax Rate â€“ The default VAT value for stock items associated with this Stock Type.
    5. SO Qty â€“ If you wanted a default quantity Sold to appear for items added to Sales Order, then this value will set it for each item of this type
  5. Repeat steps 2 & 3 for additional Level 2 Stock Types.
  6. When you have finished adding Level 2 Stock Types click the Save Screen button.

Editing a Level 2 Stock Type

To edit Level 2 Stock Types:
  1. Enter [System Data | Level 2: Type].
  2. Click the Edit button.
  3. Change the descriptions of your Level 2 Stock Types as required using the above descriptions for guidance.
  4. When you have finished editing click the Save Screen button.

Deleting a Level 2 Stock Type

To delete Level 2 Stock Types:
  1. Enter [System Data | Level 2: Type].
  2. Click the Edit button.
  3. Green select the Level 2 Stock Types you wish to delete.
    1. It is not possible to delete a Level 2 Stock Type if there is a Level 3 or Level 4 Stock Type associated with it. Remove or delete the Level 3 and 4 Stock Types association(s) before proceeding to delete the Level 2 Stock Type.
  4. When you have finished deleting the Level 2 Stock Types click the Save Screen button.
